Registration FAQs

How do I register for Annual Session?

Do I need to be an ASDA member to attend Annual Session?

Yes, you must be an ASDA predental or predoctoral member to attend. If you are not a member, please register here.

If you are unsure of your membership status, contact Membership@ASDAnet.org.

 

What is included in my registration package?

Included in your registration package:

  • Entrance to all educational sessions and House of Delegates meetings
  • Dental Expo with more than 60 companies
  • Admission to Opening Ceremonies, Gold Crown Awards and the President’s Gala
  • Meals: Breakfast, lunch and refreshment breaks on Thursday, Friday and Saturday and dinner on Saturday night

If you are registered for a hotel registration package, you receive a shared hotel room with another attendee of the same gender for check-in on Wednesday, Feb. 22 and check-out on Sunday, Feb. 26.

If you are a predental and selected a daily package, you receive entrance to all educational sessions and House of Delegate meetings on selected days, as well as breakfast, lunch and refreshment breaks.

Who should I contact if I need help with registration?

Contact Meeting Planner Kelsey Hays for assistance.

 

Will I receive a confirmation of my registration?

A confirmation email of your registration will be sent to you immediately upon registering. The confirmation will come from the email address: events@asdanet.org. Please make sure this address is saved to your “safe” or “white” list.

 

Can I cancel my registration?

Yes. All cancelation requests must be submitted in writing to Kelsey Hays before Feb. 17 to receive a full refund, less a $25 cancellation fee. Cancellation requests received after Feb. 17 are not eligible for refund. Refunds will be made via the method that the registration was paid for.

ASDA regrets that refunds will not be given to no-shows. Substitutions are gladly accepted until Feb. 6. Substitutions after Feb. 6 are subject to a $25 fee. Substitutions can be made by filling out this form and sending it to Meeting Planner Kelsey Hays.

Do you offer group discounts?

No. The only discount offered is the early bird registration fee to save $25.

Can I register onsite?

No, we will not accept any onsite registrations. Pre-registration is mandatory for Annual Session.

Where and when can I pick up my registration materials onsite?

You can pick up all registration materials at the ASDA registration desks in the Florida Foyers located on the lobby level.

Registration hours are:
Wednesday, Feb. 22 from 3 – 7:15 p.m.
Thursday, Feb. 23 from 7 a.m. – noon
Friday, Feb. 24 from 7 – 7:30 a.m.
Saturday, Feb. 25 from 7 – 8 a.m.

Hotel and Travel FAQs

When will the conference take place? Where is it located?

The 47th Annual Session will take place Feb. 22-25, 2017 in Orlando, Fla. at the Hilton Orlando.

 

How far is the Hilton Orlando from the airport?

The Hilton Orlando is 13 miles, about 15 minutes’ drive, from the Orlando International Airport.

Mears transportation is also available at $33 for round-trip service. You must have the coupon printed for discount.

 

Do I need to book my own hotel room?

No. ASDA will book a room for you, but only if you are registered for the hotel registration package. You will be assigned a roommate of the same gender and a confirmation number two weeks prior to Annual Session.

If you have a roommate request and did not submit it at the time of registration, you can e-mail your request to Kelsey Hays. All roommate requests are due no later than Monday, Feb. 6, 2017.

If you are planning to arrive to Annual Session on Thursday, Feb. 23, please contact Kelsey Hays so she can adjust your reservation.

 

Can I extend my stay at the Hilton Orlando?

Yes, as long as space is available. If you’d like to extend your stay, please contact Kelsey Hays.

 

What restaurants are available inside the Hilton Orlando?

Spencer’s
The Bistro
Tropics Pool Bar and Grill 

Room service is available from 5 a.m. – 1 a.m. daily.

 

What expenses are not included at Annual Session?

Expenses not included: 

  • Airfare to/from Orlando
  • Transportation to/from the Orlando Airport
  • Meals/snacks at the airport
  • Baggage fees
  • Parking
  • Transportation to and from evening events
  • Social events after hours

 

Onsite Experience FAQs

What meals are included at Annual Session?

Thursday: Breakfast, AM coffee break, lunch, PM coffee and snack
Friday: Breakfast, AM coffee break, lunch, PM coffee and snack
Saturday: Breakfast, AM coffee break, lunch, PM coffee and snack, plated dinner

Meals not included: Any meals on Wednesday, and dinner on Thursday and Friday

 

What if I have dietary restrictions?

Follow these instructions if you have a dietary restriction:

  1. Log into your account 
  2. Click "My Event Registration"
  3. Click "2017 Annual Session"
  4. Select "Update Details" next to Hotel Registration Package
  5. Click “Add Dietary Restrictions or Food Allergies"
  6. Click update to save

Make all dietary updates by Feb. 6. After this date, contact Kelsey Hays with your dietary needs.

 

Will there be an exhibit hall?

Yes, the Dental Expo will take place on Thursday, Feb. 23 from 3:30 – 6 p.m. in the Orange Ballroom. Over 60 companies will be in attendance.

 

What is the attire?

Business attire should be worn during all sessions Wednesday-Sunday. Men should wear suits, and women should wear suits, skirts or dresses. Make sure to dress in layers as meeting room temperatures tend to fluctuate.

Themed attire is requested for the President’s Gala, but not mandatory.
